EVENT MANAGEMENT SERVICES
SITC plans and manages dozens of events each year, from symposiums, seminars, conferences, and workshops to focus groups. SITC plans meetings and events in the Washington, DC metropolitan area as well as in numerous other cities across the nation. A full-service travel agency provides simple and cost -efficient travel support.
SITC's experience encompasses all aspects of meeting and event management. The staff performs the following services to achieve successful results:
Premeeting Support
- Research, identify, and select feasible meeting/conference site(s)
- Select size and negotiate hotel contracts based on needs
- Prepare budgets, monitor cost projections, and budget/track reporting
- Issue invitations, agendas, and travel procedures
- Manage participant registration
- Recruit, obtain, and provide speakers and scribes
- Coordinate attendee travel arrangements, including airfare and lodging
- Coordinate meeting space, audio/visual, and food and beverage requirements
- Create, design, produce, and distribute conference materials
- Provide email attendees
Onsite Meeting Support
- Manage onsite registration
- Conduct walkthrough to finalize room set, registration, signage, and audio/visual
- Provide onsite technical and administrative support
- Facilitate workshops and other break-out sessions
- Manage exhibits
- Produce reports, conference proceedings, and other documentation
- Supervise onsite vendors and staff
Postmeeting Support
- Reimburse expenses as necessary; reconcile and pay master account
- Analyze meeting evaluations and prepare final reports
- Perform site closeout activities
- Write and publish conference procedures
Child Welfare National and Regional Training
SITC supports the HHS/ACF/Children's Bureau national Child Welfare Technical Advisory Group, which provides national leadership and direction in planning, managing, and coordinating regional and national training and technical assistance to State Agencies that deliver services and programs for vulnerable children and families. The Technical Advisory Group consists of State representatives who are appointed based on their nationally recognized experience and expertise. SITC works with the Technical Advisory Group to assess and define IT training needs, develop the curriculum, facilitate training, and produce the training materials.
